Propuesta de un Sistema de Gestión Documental, para la conservación del archivo histórico del Centro de Documentación Regional Juan Bautista Vázquez de la Universidad de Cuenca

Abstract

The purpose of a system of document management, for the conservation of the historical archive of the Regional Documentation Center Juan Bautista Vázquez of the University of Cuenca, was carried out aimed at safeguarding the investigative and scientific wealth which will be a historic contribution in the academic education. The investigative techniques employed were the direct observation to know the causes of deterioration of some historical documents and the survey applied to the staff of Human Resources who work in the documentation center and the users. It has been identified uncoded documents and without a special treatment in the historical archive of the documentation center, exposed to loss and deterioration due to misuse. The proposal was developed in three phases, the preservation that is directed to avoid the deterioration caused by internal and external agents; through a control of all the surrounding elements in the document archive, the conservation; stops accurately the deterioration presented in the archive, through the documents preventive conservation and, the last phase of restoration aims to reveal the aesthetic and historic values of the document, based on in the respect towards it and its authentic parts, it means; retrieves the document restoring its original features. It is recommended for the administrative staff of the documental center to implement this proposal to conserve correctly the historical documents, thus to avoid loss and deterioration due to the passing of years.
